Getting Organized
Here are some ideas to help you get organized. The underlined items will connect you to sample letters and task summaries in Adobe Acrobat PDF format to make your job easier. 1. Communication from school 1. School officials including administration, parent group, teachers and transportation should approve plan for participating in Walk-to-School Day.

2. Discuss existing rules for transporting children to and from school that might impact the event.

3. Add the 1st Wednesday in October to school calendar.

3. Organize committee to meet prior to end of school year and be willing to organize/plan during summer months.
1. Recruit volunteers willing to do some organizational work during the summer. Review committee plans. Subcommittees might include:
A. Publicity/Communication
B. Sponsorship
C. Breakfast
D. Walkable Community Survey
E. Information on Walk to School Day Activities
F. Safety
Remember to include a representative from transportation and administration.

Communicate with Parents

Communicate with VIPs and supporters

1. Include event in all parent mailings at start of school year (newsletter, school calendar, etc.)

2. Send notice to all parents inviting them to informational meeting planned to coincide with parent group meeting or other evening meeting held at start of school year. Informational Meeting Invitation. Give copies of Parent Participation Invitation, Parent Survey/Permission Slip and Walkable Community Survey to parents at meeting. Send General Invitation Letter to VIPs and supporters.

Send parent participation invitation, parent survey/permission slip and Walkable Community Survey to all parents.

One Week Before Event
Review Final Plan
1. Review final plans with committee and school administration.

2. Send press release to media. Look for new press release on October 4, 2004.  See Media Plan.

3. All committees review final plans. See individual committee plans.

4. Poster the school to start a buzz about the upcoming event. Use our Easy to Print Posters or have kids create their own as a way of getting them involved.

Collect Walkable Community Survey as walkers complete them. Also collect all Parent Survey/Permission Slip forms from school and send to Michigan Fitness Foundation for data collection. (Can be sent with Walkable Community Surveys after event.)
Week After Event
Complete post-event tasks
1. Mail Walkable Community Surveys and Parent Survey/ Permission Slip forms and media clippings to Michigan Fitness Foundation.

2. Complete Post Event Response Form and fax to 517-347-8145.

3. Send Thank You Letter for Volunteers and Supporters.

Six Weeks After Event
Summary of Walkable Community Surveys returned to school.
Share summary and action plan information with parents and school administration. Send out Improving Your Community's Foot Travel/Ideas of Things (this document will be available soon!) to Do All Year with Thank You to Parents with Walk Results.

Host events promoting physical activity and walking to school
